Peasy integrates with QuickBooks Online to keep your accounting records in sync. Once connected, you can sync customers, vendors, and invoices between the two systems.
How to Get There
Click Configure (gear icon) in the sidebar, then select Integrations > QuickBooks.
How to Connect
- Click Configure (gear icon) in the sidebar, then select Integrations > QuickBooks.
- Click Connect QuickBooks.
- You'll be redirected to QuickBooks to sign in and authorize the connection.
- After authorizing, you'll be sent back to Peasy.
- The Setup Wizard starts automatically to help you configure the sync.
The Setup Wizard
After connecting, a wizard walks you through three steps:
- Customers — review your QuickBooks customers, then link each one to a matching Peasy customer or import it as new.
- Vendors — the same, for your QuickBooks vendors.
- Categories — match your Peasy categories to QuickBooks accounts, so synced items and invoices land in the right account.
The wizard only brings QuickBooks records into Peasy. You choose sync directions afterwards, in the QuickBooks settings. See QuickBooks Setup Wizard for each screen.
Common Questions
What data syncs with QuickBooks? Peasy can sync customers, vendors, invoices, items, and other accounting data depending on your QuickBooks settings. During setup, you map Peasy categories to your QuickBooks accounts so synced activity lands in the right place.
How often does QuickBooks sync? Once connected, QuickBooks sync can run automatically for supported records based on your settings. You can also trigger manual syncs when needed from the integration pages.
For a new active Peasy customer, automatic creation or linking requires an active QuickBooks connection, a customer direction that allows outbound sync, and Auto-sync new customers enabled. If that automatic attempt does not complete or QuickBooks rejects the customer, link or create the customer during invoice sync or from the customer's QuickBooks controls.
Can I disconnect QuickBooks without losing data? Yes. Disconnecting stops the sync, but all data already in both Peasy and QuickBooks remains. You can reconnect and re-authorize at any time.
Does an expiring access token mean I need to reconnect? No. Peasy refreshes the connection automatically, so routine token renewal does not need your attention. An expired access token or repeated refresh failures alone do not establish that QuickBooks needs authorization again.
If you see Couldn’t refresh your QuickBooks connection., click Open QuickBooks settings. If QuickBooks explicitly requires authorization again, the notification says Reconnect to QuickBooks to resume syncing. and offers Reconnect to QuickBooks, which starts the authorization process. If a To-Do offers Refresh, select it to try refreshing the connection. These reminders are specific to the business and connection you are using; a successful refresh clears an obsolete reminder.
Do I need to set up my chart of accounts before connecting? It helps. During the setup wizard, Peasy asks you to map accounts (like revenue, COGS, and inventory) to your existing QuickBooks accounts. Having your chart of accounts organized beforehand makes this step faster.
Good to Know
- QuickBooks connects at the company level — everyone on your team shares the connection.
- Only one QuickBooks company can be connected per Peasy account.

- The Setup Wizard opens once. After you finish or close it, it doesn't reopen, and you change anything it set up from the QuickBooks settings page.
- You can disconnect QuickBooks at any time without losing your Peasy data.
