Understanding Items and Units
Every product in Peasy is an "item." Items can have different units for buying, selling, and tracking inventory. Peasy handles the conversion math so your numbers always stay accurate.
How to Get There
Open any item from Buy > Items or Sell > Catalog to see its units, variants, and conversions.
The Basics
Let's say you run a coffee business. You buy coffee in 5-pound bags from your supplier, but you sell it in 12-ounce bags to customers. Behind the scenes, Peasy tracks everything in a common base unit (like pounds) and converts automatically.
Here's how that looks:

When you receive one 5-lb bag, your inventory goes up by 5 lbs. When you sell one 12-oz bag, it goes down by 0.75 lbs. You never have to do the math yourself.
How Items Are Organized
Each item in Peasy can have multiple "variants" — different ways it's packaged or sold:
- Buy variants — The units you purchase in (e.g., "case of 12," "50-lb bag")
- Sell variants — The units you sell in (e.g., "each," "6-pack")
- Inventory unit — The base unit Peasy uses internally to track stock (e.g., "pounds," "units")
All variants of the same item share one pool of inventory. So if you have 100 lbs of flour, Peasy can show that as:
- 100 lbs (inventory unit)
- 2 bags (if you buy in 50-lb bags)
- 10 scoops (if you sell in 10-lb scoops)
It's all the same flour — just displayed differently depending on context.

When you create a new item, you'll set:
- Item name — What the product is called (e.g., "All-Purpose Flour")
- Unit you buy or sell — The packaging (e.g., "50-lb bag")
- Inventory unit — The base tracking unit (e.g., "lb"). If you leave this blank, Peasy defaults to "Unit."
- Conversion — How many inventory units fit in one buy/sell unit (e.g., 50)
That's it. Once set up, all counts, orders, and reports use these conversions automatically.
Adding More Variants
Already have an item and want to add another way to buy or sell it? You can add variants:
- Go to Buy > Items or Sell > Catalog.
- Click the dropdown arrow next to + New Item.
- Select New Variant.
- Choose the parent item you're adding a variant to.
- Enter the new unit name and conversion ratio.
For example, if you already buy flour in 50-lb bags, you could add a "5-lb bag" variant with a conversion of 5.
Categories
Items can be organized into categories like "Dry Goods," "Dairy," "Packaging," etc. Categories help you:
- Filter and find items faster
- Group items on reports
- Keep your item list organized as it grows
You can set a category when creating an item, or update it later.
Good to Know
- You don't need conversions for simple items. If you buy and sell in the same unit (like "each"), just leave the conversion at 1.
- Conversions can't be zero. Every variant needs at least a 1:1 ratio.
- The inventory unit is hidden from most views. You'll usually see items in their buy or sell units — Peasy handles the translation.
- All variants share one stock pool. Selling a 12-pack reduces the same inventory as selling 12 individual units.
